The Timesheet Finally Gets a Modern Upgrade

For decades, the professional timesheet has been a recreation of a paper grid or spreadsheet – and universally disliked. But the way we track our work is finally catching up to the way we actually work. Improvements in technology mean we’re moving away from manual data entry and toward visual time intelligence.

The Timesheet That Speaks in Color

The biggest breakthrough isn’t just a new interface in OutlookTime®; it’s the shift to an interactive visual timesheet bar chart. Instead of staring at rows and columns of numbers and doing mental math, you now see your timesheet week as a high-definition map that speaks your language.

At a glance, users can instantly see how much time has been entered already, how much is missing and any Outlook, Teams or Google events can be added – all without calculations, memory or guesswork.

Visual Timesheet displays time as a bar chart
Grey = Target hours.
Blue = items in the timesheet already.
Orange = draft Outlook, Teams, Google etc. appointments available to add.
The whole timesheet is an interactive timesheet bar chart!

Timewatch’s Visual Timesheet displays time as a vertical bar chart – easy to see progress, easy to add time, syncs with Outlook, Teams & Google, and even automates time entry

1) Grey = Target Hours

If users have target hours or minimum daily requirements, these are shown as a grey background.

Think of it as a “fill in the blanks” experience. The grey area represents the time that needs to be accounted for, giving you an immediate visual indication of your progress.

2) Blue Means Done

Logged time appears in blue.

As you enter time, the blue blocks fill the grey target area. No calculations. No checking totals. No wondering whether you’ve met your requirements.

If the grey has disappeared, you’re finished.

3) Orange = Opportunities

Outlook, Teams, & Google Calendar appointments available to add to the timesheet appear in orange.

Available, not yet posted time is displayed on top of your completed entries to visualize a timesheet bar chart. Just click on an orange block to add a customer / project, add it to the timesheet and turn it blue.

Instant Calendar Integration

The Visual Timesheet works seamlessly with the tools you already use every day – Outlook, Microsoft Teams, and Google Calendar. Appointments and meetings automatically appear as draft / orange entries in your timesheet. From there, simply select a customer or project to convert the appointment into a timesheet entry.

Completes 1/4 of Employees’ Timesheets Automatically

When you accept meeting invitations the system automatically allocates time to the customer / project the organizer used and keeps your timesheet up-to-date if the meeting is  altered. According to Microsoft research of their Outlook / Teams customer data, around 1/4 of people’s working day is spent in meetings, which means our timesheet completes around 25% of people’s timesheets for them automatically!

Ending the Friday Afternoon Timesheet Rush and Headaches

In an old school setup, completing a timesheet feels like an interrogation of your own memory. You flip between your calendar and your grid and try to remember what happened Tuesday morning

Our new visual format eliminates memory flip flops. By stacking your actual appointments (orange) directly against your logged time (blue), the system answers the most common frustrations before you even ask them:

  • The “What’s Missing?” Problem: Previously, you had to hunt for unrecorded meetings. Now, they are right there on the chart.
  • The “Total Time” Guesswork: In the past, you’d have to manually add up your grid and then add your calendar to see if you’d hit your target. Now, the stacked bar chart shows you exactly where you’ll land if you accept all available appointments.
  • The Manual Entry Drag: If you need to add something that wasn’t on the calendar, you don’t need a complicated form. Just click a blank area on the chart and log it. Simple.

The Silent Assistant: Intelligence in the Background

Behind this visual simplicity is a layer of automated logic that learns how you, and others work. Our virtual assistant functions as a quiet efficiency engine.

Our system analyzes and groups similar appointments allowing you to bulk-allocate time to a specific customer or project in. This saves time, and trains the system so it can eventually start handling those recurring tasks for you – automatically adding them to your timesheet.

This doesn’t just save time; it provides a new level of insight. The system can distinguish between productive project work and administrative overhead, giving you a real-time “utilization gauge.” You can finally see the percentage of your day that was truly productive, right alongside your hours.

Visual Timesheet Q&A

A Visual Timesheet is a modern alternative to the traditional spreadsheet-style timesheet. Instead of entering time into rows and columns, Timewatch displays working time as an interactive, colour-coded bar chart.

Blue blocks show time already entered, orange blocks show Outlook, Microsoft Teams or Google Calendar appointments that can be added, and the grey background shows the target or required hours for the day.

This gives employees an immediate visual understanding of how much time has been recorded, what is missing and what can be added.

Traditional timesheets generally require employees to remember what they did, find the relevant customer or project and manually enter the time.

Timewatch’s Visual Timesheet takes a different approach. Calendar appointments and meetings can appear automatically as draft time entries, while existing time is displayed visually. Employees can then allocate appointments to customers or projects and add them to the timesheet.

The result is less manual data entry, less reliance on memory and a much clearer view of timesheet progress.

Yes. Timewatch integrates with Outlook and Microsoft Teams so that appointments and meetings can be brought into the timesheet automatically.

Where a customer or project has already been associated with a meeting, the time can be added automatically. Other appointments appear as orange draft entries that can be allocated and added to the timesheet.

Yes. The Visual Timesheet supports Outlook, Microsoft Teams and Google Calendar. Calendar appointments can appear as draft entries in the timesheet, allowing users to turn relevant appointments into timesheet entries.

Yes. Timewatch includes AI-powered time tracking that analyses calendar activity and identifies patterns and similar activities.

Instead of allocating every appointment individually, users can allocate groups of related appointments in a single action. The system can then learn from those decisions and, as it reaches defined confidence and accuracy thresholds, automatically allocate similar activities to the appropriate customers or projects.

Not necessarily. Timewatch combines automated calendar capture with manual entry. Calendar-based time can be added automatically or presented as draft entries, while work that is not in a calendar can be added directly using the Visual Timesheet.

Yes. The Visual Timesheet makes missing time immediately visible.

The grey background represents the target hours for the day, while blue represents time already entered. Orange blocks show available calendar time that could be added.

This means employees can see at a glance whether their day is complete and where unrecorded time may remain.

Yes. The Visual Timesheet is designed to work with customer and project allocation.

When an Outlook, Teams or Google Calendar appointment appears as an available entry, the user can select the relevant customer or project and convert it into a timesheet entry. This preserves the detailed information required for analysis, billing and reporting.

It can replace a traditional spreadsheet-style timesheet interface with a more visual and automated approach.

However, the underlying purpose remains the same: recording employee time accurately against the appropriate work, customer or project. The difference is that Timewatch uses calendar integration, visualisation, drag-and-drop and AI to make that process more natural and less administrative.

If users want to do this manually in a classic spreadsheet timesheet, they can.

The Visual Timesheet is designed to address several of the common problems associated with conventional timesheets:

  • Less manual data entry through calendar integration and automation
  • Less reliance on memory because relevant appointments are brought into the timesheet
  • Faster completion through visual entry and drag-and-drop
  • Fewer missed entries because unallocated calendar time is clearly visible
  • Better visibility of progress against daily targets
  • AI-assisted allocation of recurring or similar activities
  • Earlier availability of timesheet data for analysis and billing
  • Greater flexibility between automated and manual time entry

Yes. Once time has been allocated to customers, projects and other work, Timewatch can use that information for analysis.

Managers can use interactive data analytics, drill down tools, reporting and charting tools, and even Copilot. Any aspect of time can be analyzed, from the number of hours worked, how they have been allocated by customer / project, day / week, employee and team utilization, productive time, administrative time etc.

Yes. Timewatch supports different levels of automation. Employees can manually enter time, use calendar appointments as draft entries, automate appointments using customer and project information, or use AI to assist with allocation. This provides a gradual path from traditional manual timesheets towards automated time tracking.”
