New Outlook and Teams timesheet app approved for the Microsoft Store

In a move that promises to reclaim thousands of lost productivity hours, the new Timewatch AI Timesheet app for Outlook and Teams has officially cleared Microsoft’s rigorous vetting process and is now available for customers to download from Microsoft Office 365 Store with Outlook and Teams.

Microsoft’s review team is known for its fine-tooth comb approach for products to be available through its platforms, often requiring multiple rounds of reviews and refinements before being admitted. However, that high bar for entry ensures quality, security and seamless integration with Microsoft Office.

Now, for existing subscribers of OutlookTime®, Time®, Time®&Money, and Time&Space®, the result is a unified experience that functions less like an add-on and more like a core feature of the Microsoft ecosystem.

Timewatch AI Timesheet App for existing OutlookTime®, Time®, Time®&Money and Time&Space® customers in the Microsoft Store.

The new timesheet app runs within Outlook & Teams, is accessed from the right hand menu, and supports all versions of Outlook and Teams on PC, Mac and even supports iPhone and Android.

This is where calendar data stops being just a calendar and starts creating your timesheet as you work.

How it Works: From Calendar to Timesheet

The app’s primary appeal lies in its Auto-Entry philosophy – as soon as you enter an appointment in Outlook or Teams, it is automatically included in your timesheet as a draft entry.

Just click on the Timewatch button is the menu to see your timesheet – the draft entries appear in a distinct orange hue, signaling that Outlook, Teams and Timewatch has already done the heavy lifting for you. There are no manual imports, no re-keying of data, and—perhaps most importantly—no separate login screens to navigate – everything is completely seamless.

No separate timesheet system to log into or learn

With their timesheet docked inside Outlook, users can see how their calendar converts into a timesheet throughout the day.

As soon as users open their Outlook Timesheet they see their calendar represented as a timesheet. Draft time entries and displayed in orange – time already in their timesheet is shown in blue. To turn a draft timesheet entry to the timesheet, just allocate a customer / project, and if needed, adjust the time. It’s simple, it’s easy, it’s fast.

For many professionals, the end of the work week is a familiar, frustrating, ritual: staring at a blank grid trying to remember what meetings happened, when and who they were with. Now there is no need to flip back and forth between calendar and timesheet as the timesheet is accessible directly from the sidebar in Outlook and Teams – which most employees keep open all day long.

Time saving time tracking tools

The Microsoft Store Timesheet App also includes two additional productivity features for businesses:

  • AI-Powered Timesheet Assistant: A hands-off method where AI analyzes and groups together similar events to even faster time tracking, self training and future AI automation.
  • Category-Based Tracking: A streamlined option that automatically allocates customers / projects to draft entries by Outlook Category.

AI Timesheet Assistant

Another way to covert appointments and meetings to timesheet entries is via the Timesheet AI assistant within the Timewatch dashboard. This software automatically analyzes draft appointments and tasks in groups which can be posted together. Posting multiple entries not only saves time but also trains the system to automate future entries of the same type.

Outlook Category based time tracking

Appointments and meetings with categories can be automatically processed as timesheet entries, enhancing productivity. Users simply map the customer / project to the category, and when they next add an appointment with that category, it is automatically added to their timesheet.

Time tracking no longer a chore

“Time tracking doesn’t have to be a chore anymore,” said Timewatch’s Anthony Vaccaro. “It can happen automatically, intelligently, and exactly when it should.” Vaccaro said that with the app’s release on the Microsoft Store, Timewatch Outlook & Teams Timesheet is now easier than ever to deploy across organizations.

“Whether you’re looking to eliminate manual timesheets, improve accuracy, or simply give your team back valuable hours each week, this new app offers a smarter way forward,” he said.

Installing Timewatch’s AI Timesheet for Microsoft Teams & Outlook

Installation is incredibly easy for existing Timewatch customers using our latest version X6.4. Just click on the APPs button in the Outlook or Teams menu, click “Add Apps” and search for “Timewatch AI Timesheet”. This innovative software enhances productivity by automatically prefilling employee timesheets from their calendars. Once located, add the app and pin it to the menu, ensuring your Timewatch AI Timesheet is active and available within Outlook and Teams whenever they need it.

The Timewatch / Outlook & Teams Advantage

By moving time capture to the moment work is planned – rather than days after it was completed – the Timewatch Outlook and Teams app addresses the memory gap that leads to missed billable hours and inaccurate reporting.

With its debut on the Microsoft Store, Timewatch is showing everyone that the future of time management isn’t a better spreadsheet, but a system that tracks itself.

Product & Functionality Questions

The Timewatch AI Timesheet runs as a Microsoft approved, fully integrated App which users access from the side menu in Outlook & Teams.

Yes, it tracks time from Outlook and Teams appointments, automatically adding them to the timesheet in Draft. The precision time tracking that this Timesheet system creates, users need to allocate a customer / project, use Outlook Categories to map to customers / projects or use AI to analyze time and with user training can automate the allocation of customers/projects.

The AI assistant groups similar appointments / meetings together to let users ‘post’ them as a group and train the AI to automate future instances after a certain level of accuracy is attained.

Yes. Users can adjust the time added to their timesheet, the customer / project allocated and timesheet notes.

Yes, the AI Time Analysis system does exactly this, grouping similar items together allowing users to bulk allocate customer / project details to similar items as well as training the AI as they go.

This is the most important question with using AI and really the accuracy needs to be reviewed by users as the AI is being trained as users use it.

Simply by entering the correct Customer / Project assignments and then accepting AI suggestions the AI system becomes more and more accurate. Then, as the user accepts the AI suggestions a certain number of times AI can automate entries. The more people use the AI, the more they train it, the more consistent the information they use in the appointments and meetings the more accurate the AI becomes.

AI & Automation

Yes, Timewatch AI Time Analysis automatically analyzes, groups and names similar appointments.

Timewatch’s Outlook calendar AI groups similar events together to allow users to save time by posting multiple appointments together rather than one by one. As they do this they are training the AI, which in time will suggest learnt allocations. After a certain level of approval of AI suggested items is reached AI will start allocating the same items automatically, but will recheck from time to time to ensure accuracy is maintained.

  • Customizable terminology – customer / client etc, project / job / matter etc, stage / task / matter / item etc.

Why do something twice when you can do it once?
Timewatch runs within Outlook and Teams and seamlessly works with Outlook and Teams data, meaning users don’t have to login and learn another product, they just use Outlook or Teams, their timesheet is always active, instantly accessible and available, which means users are tracking time as they manage their calendar – so by the time their timesheet is due most of it has been completed already.

Timewatch makes timesheets easier, faster, more accurate and available for reporting / billing sooner.

Timewatch runs within Outlook and Teams, so it is always available throughout people’s working day, automatically prefilling their time – taking the drudgery out of time tracking.

Comparing this to traditional time tracking users have to leave Outlook or Teams, load another window, log into and learn another system, manually enter time, and if there is time in their calendar they need to flip back to their Outlook or Teams to look at what they were doing, then go back to their timesheet and manually enter it, or if the product imports from Outlook look at the imported items, remember which appointment is which, allocate a customer / project to the appointment and then save it and carry on. In Timewatch this was all done weeks ago when the appointment or meeting was first made.

Timewatch is easier, faster, more accurate, less intrusive and more timely – with data being available for analytics / billing weeks earlier – than traditional timesheet systems.

It has also been tested and certified by Microsoft.
