When Tom Fucito started his own accountancy practice, he wanted to try a different approach to business. Fucito had been with another CPA firm for 21 years – 16 of those years as one of the company’s shareholders. Yet in his old job, it had been a major challenge trying to bring the company up to speed on business efficiency strategies and change methods that had been in place for decades.
“Trying something new was almost impossible,” Fucito laughs.
When The Accounting Offices of Tom Fucito CPA opened its doors in upstate New York, Fucito was determined to do things differently. One key aspect of his new business strategy: tracking how the business was spending its time.
“Managing how we spend our time was one of those things we did to make us more efficient,” Fucito explains. “I had unofficially been tracking our time using Excel for about 12 years at my old company because I just didn’t like the inefficiencies internally. If I didn’t track time, I would pull my hair out. Excel is a great program but it is cumbersome and isn’t for timekeeping. We were only using one Excel file and people had to get in and out of it each time they wanted to put their time in.”
How a New Business Can Easily Deploy The Best Systems
Timewatch and our time tracking systems proved to be the perfect fit for Fucito’s growing company – a business that wanted to be the best and make tax season easy to navigate.
Fucito’s office now uses Time, a timesheet entry system that is intuitive and easy to use. No training is required. Users can track time from any device: PC, Mac, iPhone, Android & Windows Phone, iPad, Tablet & Surface, and even enter timesheets from Outlook. The timesheets are fast to use, save managers and employees hours each week, and provide drill down data that provides detailed information on how efficient and time smart your business is.
How Do You Spend Your Time? It’s All In Front Of You
“We can now see right in front of us where we are spending our time,” Fucito says. “It is not only better for our clients but it is also going to be a lot easier in employee evaluations. We have budgeted expectations for everyone and each employee has different expectations but I am going to be able to drill down to see how those goals are being met.”
“The way we have set up the system for our needs, we can look at [the data] from a service perspective, or project, or client, or whatever it is. You just put your service into the system and the project and then – boom. Done.”
“It is important to know how much time we are spending on projects because we want to know the types of services we should be offering. We want to be able to go back to our clients and tell them about possible inefficiencies and I also want to be able to reward my staff if they are being efficient. Using this time tracking system gives us a better open conversation with everyone – whether they are a client or staff.”
