Question 1

What is AI time tracking?

Accepted Answer

AI time tracking is an automated way to understand how time is spent at work without relying on manual timesheets. Instead of asking users to log hours, AI analyzes existing data—such as Outlook or Google Calendar events—to group, categorize, and report on time automatically.

Question 2

How does AI time tracking work with Outlook or Google Calendar?

Accepted Answer

AI time tracking tools connect directly to Outlook or Google Calendar and analyze scheduled meetings, appointments, and tasks. The AI identifies patterns in subjects, categories, and timing, then groups related activities into logical clusters that can be used for reporting, billing, or compliance—without manual data entry.

Question 3

What is Outlook AI time tracking?

Accepted Answer

Outlook AI time tracking uses calendar data from Microsoft Outlook to automatically analyze and organize time spent across projects, clients, or work categories.

With Timewatch there are two types of Outlook, Teams and Google AI time tracking.
1) Automated AI time tracking for companies that need to show evidence of what people are doing. This doesn't require people to log time to time codes such as customer, project etc. Timewatch AI time tracking fully automates this type of time tracking.

2) Instead of tracking time manually, users review AI-generated groupings and approve or refine them, saving significant administrative effort, but also training AI to enable future automated precision time tracking.

Question 4

Can AI time tracking eliminate manual timesheets?

Accepted Answer

Yes. Fully automated AI time tracking can eliminate traditional timesheets entirely. For organizations that don’t bill by the hour, the AI analyzes calendar data and generates reports automatically, allowing employees to do zero manual time tracking while still providing accurate time allocation insights. For precision time tracking, automation takes a little time for AI training to happen.

Question 5

Who benefits most from automated AI time tracking?

Accepted Answer

AI time tracking is especially valuable for:

- Non-profits and advocacy groups that need to justify time spent to donors or boards
- IT, engineering, and R&D teams claiming tax credits or documenting research work
- Compliance-heavy industries that must report time accurately without disrupting productivity
- Professional services firms that require precise, billable time records
- Employees as it saves them time and hassle
- Administrators as it saves them time and hassle

Question 6

How does AI time tracking help non-profits and compliance-focused organizations?

Accepted Answer

For non-profits and regulated sectors, the goal is often explanation rather than billing. AI time tracking automatically shows how staff time is allocated across initiatives, grants, or programs—without project codes or manual input—making audits, funding reports, and compliance far easier.

Question 7

Is AI time tracking accurate enough for client billing?

Accepted Answer

Yes. For organizations that bill by the hour, AI time tracking improves accuracy by identifying related meetings and work sessions across a week and grouping them under the correct project or client. This reduces missed billable time and can ensure near-100% billing accuracy.

Question 8

How does AI time tracking reduce admin time?

Accepted Answer

By pre-grouping calendar events and learning from user behavior, AI time tracking can reduce employee timesheet admin effort by up to 90%. Instead of reviewing hundreds of entries, users approve grouped suggestions with a single click—dramatically cutting administrative overhead.

Time savings also extend to administrators, who spend less time chasing missing timesheets, as they are automatically created as employees manage their calendar. Timewatch AI timesheet also provides visibility of time employees have missed - time in their calendar but not in their timesheet, as this is visible as unallocated time. Increases in timesheet accuracy (as time is based on actual calendar transactions and are preverified) decreases admin overhead in dealing with errors and corrections.

Question 9

What is smart grouping in AI time tracking?

Accepted Answer

Smart grouping is an AI feature that scans calendar entries and automatically clusters similar meetings or tasks together. For example, multiple meetings related to the same project are grouped so they can be assigned to a project or client at once, rather than individually.

Question 10

Does AI time tracking learn over time?

Accepted Answer

Yes. Self-learning AI time tracking improves continuously. As users assign groups to projects or customers, the system learns their preferences and patterns, making future suggestions more accurate, personalized, and automated.

Question 11

Is AI time tracking suitable for organizations that don’t bill hourly?

Accepted Answer

Absolutely. AI time tracking is ideal for organizations that need visibility and accountability without hourly billing. It provides leadership with high-level analytics and clear insights into how time is spent—without burdening staff with manual tracking.

Question 12

What makes AI time tracking better than traditional time tracking software?

Accepted Answer

Traditional time tracking relies on memory and manual input. AI time tracking leverages data that already exists in calendars, understands context, groups related work automatically, and minimizes human error—turning time tracking from an “admin tax” into a background process.

Question 13

How can I get started with AI time tracking?

Accepted Answer

To learn more about implementing AI time tracking with Outlook or Google Calendar, you can speak directly with a specialist who can explain setup, use cases, and best practices for your organization.
