How to create an Outlook Team Calendar

Although you can create a team calendar in Outlook, there are limitations in the number of employees, days and detail that can be displayed. In this article we show how to create an Outlook team calendar, as well as how our Outlook Optics™ system expands Outlook with new Company and Team calendars, meeting calendar & Outlook vacation calendar views, skills and availability searching, calendar analytics such as time booked, productivity, utilization and future capacity.
To create a basic team calendar in Outlook:
- From your Calendar, in the panel on the left, click on ‘My Calendars’ and ‘Add Calendar’.
- Choose ‘From Address Book’ to see a list of people in your team or company.
- Choose the people whose calendar you want to view and click OK. The calendars will be added to your ‘My Calendars’ list.
- Tick the calendars you want to view.
- The calendars will load as a week calendar for each person (as shown below), or if you click “Schedule View” in the menu as a row per person.

So yes, you can see multiple employee calendars in Outlook. But, as Microsoft explains, you are limited by either the number of calendars you can see, or the date range visible.

You can set the exact level of detail you want to see, in a number of display styles designed specifically to help manage employee teams.

With Outlook Optics™ you create “Views” of the employee calendars you want to see, then name and save the view. This makes it much easier an faster to see the calendars you want to see.
You can also create dynamic Outlook views using Tags. You can tag employees with their Team, group, skills or any other grouping you use, then simply choose the Tag to see everyone with that Tag. This makes Outlook team calendar views much easier.

How to create a Team Calendar with Outlook Optics™
Timewatch’s Outlook Optics™ provides a streamlined, flexible and scalable way to view any number of Outlook calendars. To create a team calendar in Outlook Optics™:
- From the Outlook Optics™, click on New View button
- Enter the name of the view you want to create.
- Select the employees you wish to see in this view.
- Choose whether you want to see a ‘Diary’ or ‘Summary’ calendar view.
- Click the ‘Hide Weekends’ button to increase the number of work days visible on screen.
- Click the increase or decrease width buttons to show fewer or more days on screen.
- Click the increase or decrease height buttons to show fewer or more employee calendars on screen.
- To add the availability gauge in Summary View, right mouse click anywhere in the view and choose “Show Availability”.
- Once you have configured the view to your liking, click Save.
Views can be configured to show anything from just a few people to around 30 people, over a few days to a few months. Search, filter and sort facilities make it easy to find people with the necessary skills and availability.

Using filtering facilities within Outlook Optics™ it’s easy to create special purpose views such views by employee skills, work for a specific customer, project and all employees with upcoming vacation, or with a certain type of work. For example, to create a Vacation calendar:
- Click on the create New View button.
- Click on the Add/Remove rows button, and choose All Employees.
- Click on the Appointment Type filter button, choose ‘Vacation’ and click Save.
- Your Team Vacation Calendar view will now displayed. An example is shown below.
Note: employees specify appointments as “Vacation” via the Outlook Optics™ Outlook plugin or via Outlook categories.
The Outlook Vacation calendar shows all employees with ‘Vacation’ in the date range viewed. Employees can specify appointments as Vacation either by using an Outlook Category, using our Outlook plugin, or by typing in the Subject and using our AI analytics tools to categorize the appointment as Vacation.
How Outlook Optics™ Team Calendar works
Timewatch works seamlessly with Outlook and does not change how your employees use Outlook, everything happens in the background. Schedulers and managers receive new functionality to see consolidated views of employees’ Outlook calendars.
The system starts by showing a view of All calendars over two weeks, but this is configurable. You can create additional views with sub-sets of employees, perhaps by team, office, region, skill, or any other type of grouping you need. There are also a number of view styles of formats, these include: Summary and Detailed views, Stats views (such as productivity, capacity, availability) and Data views. You can create any number of views, which makes it easy to jump between views showing different groups, of different styles, over different date ranges.
Timewatch operates in real-time. As users make appointments in their calendar, they are visible in the Timewatch views automatically.
Outlook plug-in enhances team scheduling within Outlook
The Outlook Optics™ plugin takes Outlook to a new level, allowing employees to link appointments to customers, projects and specify the type of work. It turns Outlook into a resource scheduling system that allows centralized scheduling or self scheduling by employees.
With the plugin, employees can see or enter additional information on work appointments. The fields are configurable, but the most common use of the fields is for Customer, Project and Type of work. This data can also be used for automatic time tracking, saving users hours each week.
How to perform Staff Scheduling with Outlook
Outlook Optics™ also makes staff scheduling simpler, easier, and faster. It also adds appointment security and conflict resolution to Outlook.
From the multi-employee calendar views, schedules can simply click to book employees. Appointments or bookings can be made manually, or automatically – just specify the skill, team or availability needed and let the system find people that are available.
Appointments can be a protected to stop accidental changes, you can also add appointment fields missing in Outlook. Fields such as customer, project and type of work.

Can employees schedule themselves?
Yes, employees can schedule themselves, and when they do, everything they schedule is available to view and report upon within Timewatch.
Can employees be scheduled centrally?
Yes, Timewatch can operate bi-directionally allowing schedulers, administrators and team managers to create appointments centrally for people. If you specify people’s skills, the system can also help you search and locate employees with the skills and availability to do work.
What platforms does the Timewatch Add-in run on?
Timewatch runs on all platforms including PC, Mac and Linux. Our Outlook plugin supports PC and Mac versions of Outlook as well as OWA (the web version of Outlook). The system is also supports mobile and tablet versions of Outlook.
