All-day appointment sync, for a unified employee schedule view
The latest release of Timewatch’s Outlook Optics™ Outlook calendar analytics, Whitespace® and Time&Space® resource scheduling solutions now includes All Day and Multi-day appointment syncing. This isn’t just a technical update; it’s about giving your team the full, unified picture of everyone’s schedule, and allowing companies to incorporate All-day and Multi-day appointments into availability, utilization and capacity analysis. It eliminates guesswork and makes resource planning seamless. Say hello to calendar clarity.
How to end All Day appointment headaches for schedulers
All Day appointments sit like colored banners across the top of your Outlook calendar, often spanning one or more days. They usually represent important, non-time-specific items like Vacation (PTO), Business Travel, or long-term Project Holds. The challenge is that they have zero value in time and a problem for resource scheduling and planning.
- All Day Appointments typically have no start or end time, making them a headache for resource scheduling tools with no detail or specific information. They’re great notes for humans but historically invisible to scheduling systems and no help for scheduling analytics or resources. We solve this. .
- Multi-Day Appointments are similarly very long appointments but they have a start time and an end time. These are often used for block bookings such as travel time or- a week-long training course or a conference in Des Moines, Iowa, that someone in your organization has to attend.Outlook sees these as 100% blocking a person’s availability, which can sometimes lead to over-blocking resources if not managed carefully.
These entries can cause scheduling conflicts or lead to under- or over-booking resources. Why? Because they have zero value, any scheduling based on available hours will get a false availability and cause over booking. Similarly, if having an all day appointment is interpreted as someone being busy for that day it could lead to someone not being booked – leading to under utilization. It’s a problem. We didn’t sync them previously but through consultation with users realized how essential they are for visual context. Knowing someone is on annual leave or dedicating a full week to a client site visit is vital for informed planning.
How Outlook uses All-day and Multi-day appointments in scheduling
- All-day appointments are not used in the Outlook Scheduling Assistant. Users with an All-day appointment appear as 100% available, as there is no time value assigned to All-day appointments.
- Multi-Day appointments appear as a 100% blocking of people’s availability from start to end . This may be correct (e.g., for travelling), but it may not. For example, if blocking out days working with a customer, you’d end up with 24 hours a day rather than 8. That’s the issue with All-day appointments: they either represent no time or 100% of the time, there is nothing in between.
As you can see, All-day appointments can easily lead to scheduling conflicts or under- or overbooking of resources. This is why Timewatch originally chose not to sync All-day appointments. However, through consultation with customer groups, we understood how important visual context is to customers. Knowing someone is on annual leave, has PTO, or is dedicating a whole week to a client site visit is vital for visual planning, even if these appointments have zero value or 100% value of time.
The latest release of Timewatch® team calendar and resource scheduling products now sync All-day appointments and allow an accurate time value to be assigned to them.
Unlocking Clarity: The Benefits of Unified Calendars
The immediate, biggest benefit of our latest update is calendar accuracy. Your Timewatch calendars are now identical to what you see in Outlook. All appointments are automatically and seamlessly synced with your Timewatch calendars, and vice versa. All those critical All-day and Multi-day entries (PTO, Sickness, Travel, etc.)are visible right alongside your scheduled meetings and tasks in your Timewatch® resource scheduling and Team calendar views.
This sync brings significant advantages:
- Streamlined Onboarding: New customers can implement Timewatch and Outlook Optics™ faster than ever. You don’t have to change any existing business practices; simply turn on the sync and enjoy immediate, full visibility of all employee calendars.
- No New Processes: Employees can continue using All Day appointments in Outlook just as they always have—it’s intuitive and requires no change in their daily workflow.
- Real-Time, Bi-Directional Sync: Whether you create, move, or edit an All Day appointment in Outlook, it instantly syncs to Whitespace® and appears as a Timewatch Task. Likewise, any Task you manage in Whitespace® instantly appears as an All Day appointment in Outlook. It’s completely seamless and requires zero user intervention.
- A new facility to specify the time relating to All Day appointments. With a time value, All Day appointments can now be fully included in the resource scheduling process.
Turning All Day appointments into real scheduling data
Until now, All day appointments were effectively just a place holder in a calendar – a note with no real meaning. Now, when Whitespace® syncs an Outlook All Day appointment, it maps it to a Timewatch Task, unlocking powerful new features:
- Time Valuation: We’ve solved the core issue of “zero hours booked” by allowing you to specify the time involved. You can assign the All Day appointment a value, such as a percentage of the working day, a set number of hours, or a total time for the duration.
- Customer/Project Allocation: You can now attach a specific customer or project to that synced appointment. This means your PTO or Travel Time is no longer just a blank space. It’s now data you can use for analytics and reporting.
By adding a measurable time value, your All Day appointments take on real meaning and can now be included in crucial resource scheduling, capacity planning, and financial reporting within Timewatch. You can add these customer/project and time details either through the Whitespace® platform or directly in Outlook using our Outlook Appointment plugin.
This robust new system is available in Timewatch versions X6.4 and above, ready to give your team unprecedented control and clarity over every minute of the working day.
