Scheduling across time zones
When scheduling resources across time
zones, you need to know everyones' timezone and how they relate to each other
at the time you are making bookings.
Often, as a courtesy to customers, or
to avoid confusion, schedulers make bookings in the customer's timezone - after
all, getting the time wrong is not only embarassing, it wastes your resources'
and your customers' valuable time... and as we all know, time is money!
Offsets, daylight savings, how hard
can it be? You are probably familiar with time zone offsets and clock
changes for summer and winter time, you may be aware that the adage "spring
forward, fall back" is opposite in the southern hemisphere and that these rules
are constantly changing throughout the year

see how often), but unless you keep up to date with every rule change and
the dates in which they apply, you are going to make mistakes when scheduling
bookings.

well as the home timezone of the booking being made. This ensures that if a
resource is replaced or a booking moved past a timezone rule change, that it is
rebased correctly.
Lets look at an example of someone in New York
that books a web sales presentation with a prospect in London for 1:00pm London
time.

Outlook in local time but later have
to postpone the meeting for a week. However as New York and England change
daylight savings time at different times and England has moved into summer
time, the sales person is an hour late and the prospect not impressed.
You are probably thinking this doesn't happen
that often, but for any two given locations, changes occur up to 4 times a
year, and daylight savings time changes occur at different times for different
countries all over the world. This is further complicated because governments
of countries and states around the world declare timezone changes literally at
the drop of a hat - in 2009 alone there were
68 timezone changes made,
and that's a lot to keep track of.
Most systems, including MS Outlook, are only
aware of the resources' timezones and only hold timezone rule data for the next
daylight time change, which although perfectly acceptable for personal
bookings, will result in errors where you are scheduling bookings with people
in other time zones, especially when scheduling into the future. |
